Your data, looked after
What we collect through this website, why, who it’s shared with, and the choices you have.

Who we are
Move & Form (14c Cowbridge Road, Pontyclun, CF72 9ED) runs this website and is responsible for the personal data collected through it (the “data controller”). Questions about this policy or your data: info@moveandform.co.uk or 07777 131238.
What we collect and why
When you contact us
The contact form sends us your name, email address and message by email so we can reply. The website doesn’t keep a copy. We keep the email only as long as we need it to help you, and delete it within two years. Our reason (lawful basis) is our legitimate interest in answering your enquiry.
Bookings and memberships
Classes, courses, passes and memberships are booked through TeamUp, our booking system. When you follow a booking link you leave this website: TeamUp collects your account, booking and payment details on our behalf, as described in TeamUp’s privacy policy. We use those details to run your bookings and membership and to contact you about them.
Website analytics (only if you accept)
If you accept analytics cookies, we use Google Analytics (through Google Tag Manager) to understand how the website is used: the pages you visit, roughly where you are (town or region), the device and browser you use, how you found us, and clicks through to book. It doesn’t tell us who you are, and Google Analytics doesn’t store your IP address. We keep this data for 14 months. Our lawful basis is your consent, which you can withdraw at any time with “Cookie settings” at the bottom of every page. If you don’t accept, Google Analytics doesn’t load at all.
The chat assistant
The “Ask us” chat answers questions using AI. What you type is sent to OpenAI, which writes the answer from our website, prices and timetable and matches your question to the right pages. OpenAI doesn’t use it to train its models. When the conversation ends, a copy is emailed to our team so we can see what people ask and follow up if you’ve left your email address. We keep those emails for up to two years, like other enquiries, and the copy on our website is deleted once it’s sent. Please don’t share health details in the chat: for anything personal, email or call us. Our lawful basis is our legitimate interest in answering your questions.
Studio team sign-in
Our team signs in to manage the website with their Google account. Visitors don’t need an account and can’t create one here.
Cookies and similar technologies
| Name | What it’s for | How long |
|---|---|---|
| my-consent (stored in your browser) | Remembers whether you accepted or rejected analytics cookies. | Until you clear your browser data |
| _ga, _ga_* | Google Analytics: tells visits apart and counts returning visitors. Only set if you accept. | 2 years |
| SESS* | Keeps our team signed in, and keeps your conversation with the chat assistant together. Only set when a team member signs in or you use the chat. | Until you close your browser, or sign out |
You can change your choice at any time with “Cookie settings” at the bottom of the page, or block and delete cookies in your browser settings. TeamUp sets its own cookies when you book; see its policy.
Who we share data with
We never sell your data. We share it only with the services that run the studio and this website, who act on our instructions:
- TeamUp, for bookings, memberships and payments
- Google, for email, website analytics and team sign-in
- OpenAI, for the chat assistant
- Akamai (Linode), who host the website on servers in London
- Amazon Web Services, who store the website’s images and send its emails
Some of these providers are based in, or process data in, the United States. Where data leaves the UK, it’s protected by the UK’s adequacy arrangements (the UK Extension to the EU–US Data Privacy Framework) or standard contractual clauses.
Your rights
Under UK data protection law you can ask to see the personal data we hold about you, have it corrected or deleted, restrict or object to how we use it, receive a copy to take elsewhere, and withdraw consent you’ve given. Email info@moveandform.co.uk and we’ll reply within one month.
If you’re unhappy with how we’ve handled your data, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.
Changes to this policy
We’ll update this page if how we use data changes. The date at the top shows when it last changed.
